What is Simply Gift Aid?
Simply Gift Aid is a completely unique gift aid management solution for
nonprofit organisations, churches and community amateur sports clubs. Unlike any
other gift aid management products on the market, Simply Gift Aid is a web-based
software application that provides easy and convenient access to charitable
donations.
Why should I Use Simply Gift Aid?
Simply Gift Aid enables churches and nonprofit organisations to focus on
fundraising efforts and to increase their operating efficiencies. Additionally,
it is convenient and easily accessible for users, completely safe and secure for
transactions, a green alternative that reduces waste and helps the environment
and is HMRC compliant to assist in auditing processes.
How many Simply Gift Aid users can I have?
Depending upon your nonprofit organisation’s needs, Simply Gift Aid offers four
gift aid management plans to choose from.
Does Simply Gift Aid backup our data?
All gift aid data is backed up nightly. Redundancy plans are in place to ensure
that gift information will not be lost and the system will not go down. Per HMRC
policy, gift aid data files are maintained for a period of six-years for audit
compliancy.
How does Simply Gift Aid’s 30-day free trial work?
Simply Gift Aid offers a free 30-day trial on all new accounts (Basic level
only). The first charge will be applied 30 days after a user signs-up for the

Does Simply Gift Aid issue refunds?
Simply Gift Aid is a month-to-month, pay-as-you-go service. For this reason, refunds are not
provided. Pricing plans are for 30 days of service. Users may cancel their service at any time and
they will not be charged again, however, users are responsible for any charges already incurred.
Are there any sign-up fees, termination fees or hidden fees with Simply Gift Aid’s
services?
Simply Gift Aid does not charge, require or have any sign-up, termination or hidden fees. Users are
only charged for the plan that they choose to sign-up for.
What if I forget my Simply Gift Aid account login and password?
If you signed up for a Simply Gift Aid plan and you’re not able to login, contact our support team for login and password recovery assistance.
Gift Aid ID
These are unique IDs given to donors by each charity. Each Charity must maintain
its own system of IDs for issue to donors. As an example some charities issues what
are known as giving numbers and each donor is meant to quote this number (on a giving
envelope) when making a donation to the charity. When choosing a system if IDs to
use a charity must ensure that donors can easily remember their IDs in the future.
As an example there are organisations (churches) which ask donors to create an ID
using their first name, second name and surname initials and the digits of their
date of birth to create a unique ID e.g. Samson Duke born on the 2nd of June 1980
would have an ID of SSD020680. Instructions on how to create this would be on the
declaration form the donor signs at the very beginning. Going forward the donor
only needs to quote their ID and the amount they are giving Email addresses and
mobile numbers can also be used as Gift Aid Id in the system.
Control Month
The HMRC requires that charities using envelopes to collect donations must keep
a month’s sample of these envelopes each year. These samples must be held in storage
for at least four years. Please note that donor declarations are meant to be kept
indefinitely. Simply Gift Aid gives charities ability to select a control month
in each Tax year. The charities can attach a scanned copy of an envelope to into
corresponding donation record in the system. After this the Charity will not need
to keep the physical copies of the envelopes.
How do donations Link to bank statements
When capturing donations users must ensure that they select the correct banking
date. Sometimes banks post the banking the day after someone visits the bank and
it is for this reason that Simply Gift Aid allows users to do bank reconciliation
so that banking dates for donations as stated in Simply Gift Ai d match the bank
statements. See help section on how to do bank reconciliation. When charities receive
their bank statements they have ability to upload the scanned copies of these statements
into the gift aid software. When a bank statement is being uploaded users have to
enter the period for which the statement applies. The donations are then linked
to bank statements by matching the banking date in the gift aid database to the
statement period for each bank statement.
How long are declaration documents stored in Simply Gift Aid
The scanned in declaration documents that are linked to each donor are stored in
the gift aid software as long as the donor is registered with the charity in the
database. All other documents are stored for a minimum of four years.
